What a photography proposal should include

The brief, said back

Restate the plans or the business goal in the client's words. The wedding example starts from the couple's dinner outdoors; the Casa Nera example lists five channels to feed and an opening date.

Approach and selected work

Explain how you work before you show prices: documentary first and gentle direction for a wedding, three creative principles for a commercial brand. Then a short selection of relevant work.

Coverage or content, counted

Say what the client receives in numbers: 600+ photographs, 10 hours and a 48-hour preview for the wedding; 100 photographs and 20 vertical clips across five categories for the restaurant.

Timeline and who covers what

Map the day or the production rhythm, then split the responsibilities between you, the client and third parties such as the planner, the venue or the kitchen team.

Usage, rights and terms

Couples need a private gallery and printing rights. Commercial clients need the channels, duration, territory, paid usage and ownership. Write them before the price, not after delivery.

Two options and the deposit

Two collections or two packages, one recommended. In the examples: €2,900 or €4,900 with a 30% deposit, and €3,200 or €6,400 with 50% to book the dates.

How to adapt it to your photography business

Price coverage, not hours

Price what the client is buying: hours of coverage and edited images for a wedding, shoot days and assets for a commercial client. Hours alone invite a comparison on the wrong thing.

Name what the fee does not cover

Travel beyond your area, food styling, extra half-days or rush delivery are where photography budgets get argued. List them, with a price where you can. More in our guide on how to write a scope of work.

Put usage and changes in writing

Say where the images can be used and for how long, what happens if the date moves, and how changes to the brief are quoted. Both examples answer these inside the proposal.

Wedding or commercial: what changes?

A wedding proposal sells trust in one day: approach, recent weddings, the timeline and collections. A commercial proposal sells a usable library: channels, a shot list, the production rhythm, usage rights and packages.

How do I price a photography project?

Price coverage and output rather than hours, and present two complete options with one recommended. A deposit of 30% to 50% at signing is common, with the balance before the wedding or before final delivery.

Which usage rights should a commercial proposal state?

The channels covered, for how long and where, whether paid advertising is included, and who keeps the copyright. The Casa Nera example lists each one before the approval.

Should I send a PDF or a live proposal?

A live proposal shows your photographs at full size, lets the client compare the two options and book on the same page. For a commercial scope, you can start from our scope of work template.
